Abstract Submission Information

  • Abstract word limit is 250 words
  • Abstract Submissions close Friday 16th September ** Deadline now extended to Monday 26th September **
  • You will be notified by email if your abstract has been accepted, by 14th October 2016


When submitting your abstract online you will be asked to select one of the following session themes that best suits your presentation:

Presentation Guidelines

• Please load your presentation with the conference team in the speakers prep room after you have registered for the conference. The speaker's prep room is located in the foyer of the hotel, please check with registration if you wish to utilise this room.
• Please bring your file on a memory stick with the presenters name as the file name for ease of loading.
• Please ensure your memory stick is virus free.
• To ensure the smooth running of the programme all presentations must be loaded at least one session prior.

• The allocated time for your talk is 20 minutes talk, 3 minutes discussion and 2 minutes room change.
• Due to the tight timeframe, we emphasise the importance of starting and finishing on time. Session chairs have been instructed to ensure that you do not go over your allocated time.
• There will be a 3 minute and a 1 minute flash card to indicate that you need to wrap it up.
• Speakers are required to sit in the front of the room (for fast changeover of speakers).

• Our AV technicians run the latest Microsoft Office Suite (currently Microsoft Office 2013) so that no matter what version you have made your presentation in it will run without issue. Please bring your presentation on a USB so we can load onto our laptop(s).
• Each room is equipped with a laptop, data projector, pointer and various microphones. Please Familiarise yourself with Audio visual equipment in the speaker's prep room. There will be a student helper on hand if you require assistance during your talk
• PowerPoint is preferred, however if your presentation is created using a different format, such as Prezi, please email This email address is being protected from spambots. You need JavaScript enabled to view it. in advance to advise
• If your presentation has been formatted on a MAC computer, please bring your laptop and adapters with you
• Embedding of audio or video files into your PowerPoint presentation is very important as if they are not saved locally to your computer and they haven't embedded properly we cannot guarantee they will be viewable on conference day. To be certain you have no issues with video or audio files ALWAYS bring a USB which has a saved copy of the video and audio files as a backup

You may wish to bring a back up copy of your presentation with you in the event of any unforeseen circumstances.

Poster Guidelines

  • As in previous years, the poster session will be filmed and footage may be used on the NZFSS website. There is an opt option for this, if you prefer
  • Please prepare your poster for A0 size, portrait format
  • Velcro dots will be pinned on the poster board


Finally, a reminder that the discounted early-bird registration closes on 4th November. To qualify for this rate you need to have registered and paid by this date. Please note, all presenters must have registered before 4th November or your abstract will automatically be withdrawn.

Terms & Conditions

1. Original content: 
All abstracts must be original work. The author is responsible for the accuracy of the abstract. 

2. English language: 
All abstracts and presentations must be in English. 

3. Copyright:
Material presented at the conference must not violate any copyright laws. If figures/graphics/images have been taken from sources not copyrighted by the author, it is the author’s sole responsibility to secure the rights from the copyright holder in writing to reproduce those figures/graphics/images for both worldwide print and web publication. All reproduction costs charged by the copyright holder must be borne by the author. The submission of an abstract indicates that the author/s undertake to respect and ensure compliance with any applicable copyright.

4. Exclusion of commercial products and services: 
Abstracts promoting commercial products or services will not be accepted. Product vendors and others who wish to promote a product or service are invited to contact the Conference Manager for the Sponsorship information.

5. Consent to publish: 
By submitting an abstract you give consent to the publication of the abstract in conference material, including but not limited to, the conference website, conference handbook, email promotions, etc.

6. Conference registration: All presenting authors whose abstracts are accepted for the Conference, are required to register to attend the conference on the relevant day and pay the relevant fee in order to ensure their abstract is included in the Conference programme.  The discounted early-bird registration closes on 4th November 2016. The Conference Venue - Ascot Hotel, is approx 12 minutes drive from Invercargill Airport.
